Telephone Sales Skills – Tips to Improve Your Success with Incoming Calls

As a trainer and consultant in the area of Telephone Sales, I am often asked - what are the secrets of success in the Telephone Sales? Of course, this is a very complex question! But here I give just a few common factors that I have found in the best Telephone Sales people. I have also used these methods in Telephone Sales Training to coach and train Telephone Sales Teams who have gone on to much higher performance. We focus here on the area of incoming enquiries, and how to convert more enquiries to sales.

Work at Your Craft

One of the most fundamental characteristics that distinguishes the mediocre Telephone Sales person from the Best of the Best is that the Best always want to get better! They work at their craft. This is generally not true of poor performing Telephone Sales people. They are often focused on reasons why they CANT get better, like poor quality products, disinterested callers and better competition.

The Best Te lephone Sales people are focused on getting better, on finding some edge that will ensure they can meet or exceed their targets today, this week and this month. What one thing can I work on next week that will improve my focus with my Callers? Which of my skills on the call will I work on today? What can I do to improve my ability to close more sales? What can I work on to improve my positivity, my motivation, my ability to believe that I can be successful?

What the poor performer doesnt appreciate is that all these are Telephone Sales Skills! How to make myself more positive, or increase my belief that this caller will say yes these are skills to be worked on, practiced and improved!

Focus on the 2% Increase

One of the skills of the successful Telephone Sales person is the ability to set themselves realistic targets, and to plan HOW they are going to achieve those targets. These are their own personal targets, not the Companys, a nd they will set themselves a target for the week, and for each day. The focus of their target will vary. They might set a target of the number of sales today, and their conversion rate tomorrow. They wont set themselves a huge jump in figures like 10% increase in your conversion rate.

A huge increase can actually be de-motivating, and it is very difficult to see HOW you could possibly achieve this. Set yourself bite size chunks of increase in your telephone sales conversion rate.

A method I use in Telephone Sales Training is the 2% rule. Why just 2%? Well, according to an old Telephone Sales Trainer I once had, 2% is the perfect target to achieve real difference. Think of the Titanic, the ship that went down taking all those poor souls with it. How much would it have to move to have AVOIDED that ice berg? According to my old mentor, just 2 degrees of movement would have saved all those lives. 2 degrees is a small amount, but it can have a huge impact on our lives.

We use the same thinking in improving sales results with incoming calls. Look for just 2% improvement here, 2% there, and it soon adds up. For example, if you focus for a week on improving your skills at the beginning of each call, that might give you 2%. If you improve just one aspect of your product knowledge, that is another 2%. Thinking positively about your Callers is another 2%. This is a lot easier figure to focus on that10% or 15%, much more doable, and all your 2% bites will soon add up!

Focus Areas for Improvement

Identify your goals very clearly where EXACTLY your batches of 2% will come from. If you focus on too much, you will achieve nothing. Plan what you will work on. Write down your focus areas on a small card and pin it on your computer e.g. you might put a list of positive phrases up today and a list of good questions tomorrow.

A few Telephone Sales Skills that will definitely contribute to your 2% increase are

Work on your Telephone Call Handling Skills and start with the BEGINNING of the Call. First impressions count, and it takes just 10 seconds on a telephone to for that caller to decide I like this person, and I want to work with them or I am out of here! Ensure your caller gets a warm, professional greeting, like you really are pleased he or she has called. Use positive listening responses, verbal nods to encourage your caller. Get and use the callers name, being carefully to use it appropriately for your culture. Focusing on the beginning of your call for one week will be guaranteed to improve your conversion rate that week. Work on your product knowledge. Ensure you really know your products and what edge your products have over the opposition. Have regular blitzes on your product knowledge e.g. working on one product area per week for 4 weeks. Improve not only your knowledge of the product itself, but what VALUE it is to different Customer types. Think through the Customers eyes to get a sound understanding of the benefits of your products and how to explain these positively to your Customers. Profile your Customer types every line of work has different Customer Types. A poor Sales person will usually be able to build rapport and sell effectivel y to just one Customer type and they will be incapable of working with the more difficult types. The good Sales person will work at improving their sales skills with each Customer type in turn perfecting their ability with each one. Work on your approach, the language style, the benefits you offer and how you explain these to each different Customer Type. This will lead to more closed sales with each group. Believe that Callers DO buy! Work at building this positive belief. Remember, it is POSSIBLE to sell to any qualified prospect someone is going to do it! The real difference between your Company and your major competitors is the quality of your Sale people. In one of these Companies is a Telephone Sales person who will close the sale with this Customer. The competition is between you and John or Jane make sure you are better!

7 Silent Signs That You May Be Boring Someone

I urge you to develop an essential element of Emotional Intelligence -- Have Social Awareness. This includes knowing how you're being perceived by others. Do you know when someone finds you (yikes!) boring?

As someone who speaks for a living, I can assure you that *many* people have missed some crucial signs that others have mentally tuned them out because the speaker is not aware that they're not engaging the other person. Emotional Intelligence and social awareness are critical components in cultivating social savvy and the success that comes with it.

It doesn't take a lot of intelligence nor is it an ego booster when you realize that what you think is a great story you've been telling is actually driving someone to the brink of a coma with boredom. However, with proper training and conscious effort, you will commit this social crime a lot less often and probably improve your popularity if you do something about those telltale signs of boredom as soon as they arrive on the scene. The critical point, of course, is being able to recognize boredom at its first blush.

Below are seven nonverbal signals you'll want to pick up on quickly about emotional intelligence and body language so you won't be considered boring by others:

Remember; consider the entire context of body language. Don't put too much meaning in a single gesture. Rather, notice the eyes, head, arms, body, the whole body; this allows you to "read" their messages in the proper context. With a little self- training, you'll become a master at understanding if you are boring people when you speak.

ARE YOU BORING, BODY LANGUAGE TIP #1: Rotating the head from side to side. You know, like there's a cramp in the neck. While the side to side bob should raise your radar, rest assured that the good old nod up and down pretty much means what you think it means. The person you're talking with is with you and, assuming there's eye contact, is also agreeing with your take on the matter.

ARE YOU BORING, BODY LANGUAGE TIP #2: Keeping hands hidden. The main reason we shake hands and military people salute, by the way, is to show that we're unarmed. Hidden hands might suggest some kind of breakdown in communication if accompanied with a severe break in eye contact.

ARE YOU BORING, BODY LANGUAGE TIP #3: Emotional intelligence skills gathered through training will help you realize what "micro gestures" mean. Narrowing the eyes with the head turning away from you. Not only might you be boring them, but if they also shake their heads, they may be second guessing your honesty or sincerity.

ARE YOU BORING, BODY LANGUAGE TIP #4: Eyes glazed over. Yes, it's the most obvious sign of boredom, and it doesn't take much social awareness to recognize this one. The unfocused eyes are not a good sign, especially when their facial expression fails to even come close to matching your own expression at the moment.

Those zoned out, non-blinking eyes with emotion-free facial clues tell you that, wherever their mind is right now, it's not on what you just said.

They may be trying to put a physical barrier between themselves and you.

ARE YOU BORING, BODY LANGUAGE TIP #6: Picking at their clothes as eye contact stays persistently broken or looking around the room. Are they smoothing wrinkles that aren't there? Removing link only they can see? Inside they may be thinking when is this person going to stop talking, and do I need to fake cardiac arrest to get out of this conversation? Gently turn the talk back their way.

ARE YOU BORING, BODY LANGUAGE TIP #7: Showing a clinched fist with tightened facial muscles. Yikes! How long have you been talking? The frustration has escalated. Quickly, before they do something drastic, let them talk!

Of course, it's impossible to assume an entire conversation behind a single gesture, and there's no reason at all for you to take offense at a single one of these signals in isolation.

Like words themselves, body language in the form of gestures must be interpreted as part of the entire communications package. What else are these people doing? Be sure to look at the whole picture before rushing to conclusions. Develop your skills in emotional intelligence training so you will become more socially aware and less socially boring.

And remember, of course, when in doubt, it's always a good idea to toss the conversational ball back in their court to keep them engaged in the conversation and minimize boredom!

Video Forensics: Standard Operating Procedures

There is a set of procedures all forensic experts follow in order to show that their investigation and forensic work is acceptable in the scientific community. Without these standard operating procedures, our courts and legal systems will get bogged down by bogus forensic experts who provide bogus information in litigation.

Following the practices and procedures of forensic investigation as accepted in the scientific community requires the forensic examiner to be trained on many levels of forensic investigation. For example, software programs that aid in the forensic examination are complicated. Training programs both written and on video help forensic examiners learn how to use and apply these software tools when conducting forensic examinations.

In the following article, I will describe the processes I often use as an audio video forensic expert as well as the tools that aid in my investigations. I wrote this article about digital and analogue video clarification to help the lay person better understand the audio/video forensic examination and investigation process.

Many video recordings are submitted to me for forensics examination. More often than not, the quality of these recordings is below optimal. Operator error or inferior equipment often contributes to poor quality video.

Essentially, video clarification is the process used to address these less-than-ideal video conditionsto produce a sharpened, enhanced video product.

Our Mac and PC based forensic video processes allow us to break a video down into its original components and enhance picture quality and sound.

The components are adjusted and then realigned, resulting in a clearer, crisper image. Once the video has been loaded into our computer, we can then adjust gamma color tints and intensity, ratio of black to white to grey tones, chroma, and other video attributes, plus sound-quality attributes.

Note that no video clarification steps used by a video forensic expert will cause damage to the original recordings. Maintaining the integrity of an original videotape is, of course, of paramount importance.

I want to stress the importance of using original video recordings in all litigation because originals have the better quality than copies and because originals that have an established chain of custody are mandatory for court use instead of copies. Although the copy is showing the same image, the information contained on the video recording will never be as valuable as the original. Original videos outside the court room are referred to as "Full Quality Files".

Digital Video Formats-Codecs Compression and CCTV Video

Digital video, which has many formats, is a highly beneficial tool. Businesses can tap into its neglected power for Internet marketing (the process of promoting, selling, and distributing a product or service 24/7 on the Internet). There is no better way to sell in a global market that makes purchases 24 hours a day than with a well designed website that includes this beneficial tool. In the following paragraphs, my goal is to help you understand digital video with regard to closed circuit television systems and its many formats.

In its simplest terms, digital video can be defined as a video that has been recorded using a software program and digitally stored in a computer. A CCTV system is a computer. That digitized information can be controlled from a computer and displayed directly on a computer monitor.

All current digital video file formats, which are listed below, are based on PCM or Pulse-code modulation. PCM is a digital representation of an analog signal where the magnitude of the signal is sampled regularly at uniform intervals, then quantized to a series of symbols in a numeric form (usually based on binary code).

Here is a brief catalog of digital video file types so you better understand how it is used.

CCIR 601 (or RE 601) is a file used for broadcast television stations because of the analogue and digital television conversion. This digital video file format converts and encodes interlaced analogue video signals into digital video.

In the old days, television commercials were first distributed on analogue first, then digital tape. Today, TV commercials can be distributed over wireless networks electronically using digital video technology.

MPEG-4 is good for online distribution of large videos and video recorded to flash memory. This is a digital format used for video iPods and uploading to YouTube and other social media networks, but keep reading.

MPEG-2 (used for DVDs) is a digital file format used to make DVDs. An MPEG-2 digital video file burned onto a DVD will play video on a DVD player and computer provided the computer has the ability to play DVDs. Some computers with older DVD technology will have difficulty reading DVDs that have been burned with newer technology.

MPEG-1 is used for video CDs and was the first digital video format that was mass marketed. It is rarely used today but occasionally pops up. Many DVD players will play MPEG-1, but not all can read this digital file format.

H.261 was the first truly practical digital video coding standard. In fact, all subsequent international encoding like MPEG-1, H.262, MPEG-2, H.263, MPEG-4, and H.264 (MPEG-4 Part 10) have been based closely on the H.261 design, which is now seldom used.

H.263 is a video codec standard originally designed as a low-bit rate compressed format for videoconferencing. H.263 has since found many applications on the internet: much Flash Video content (as used on sites such as YouTube, Google Video, MySpace, etc.) is encoded in this format.

The original version of Real Video (which I recommend you run away from) was based on H.263 until the release of Real Video 8. In other words, I tell you about H.263 so you can see the legacy.

H.264, also known as MPEG-4 Part 10 or as AVC, is the next enhanced codec developed for sharing digital video on the internet. H.264 provides a significant improvement in capability beyond H.263. The H.263 standard is now considered primarily a legacy design (although this is a recent development).

Most new videoconferencing products now include H.264 as well as H.263 and H.261 capabilities. Primeau Productions uses H 264 digital video in a Quicktime format to send to webmasters for use in encoding Flash video on client websites.

Here is the bottom line: the files above are created using computersincluding CCTV systemsand can be viewed with video editing software and digital video file converters.

H.264 technology is an excellent beginning file format for creating Flash video. Video editing software programs can output various sizes of H.264 and be used several ways:

1. A source digital video file to create a Flash video for your website
2. A digital video file that can be emailed
3. A digital video file that can be uploaded to social media like YouTube, Yahoo and Viemo
4. To view a converted CCTV video codec in court

Flash video is a web-based digital video player. It is cross platform, which is why I recommend its use for digital video content delivery on your website.

Although many editing programs like Final Cut, Vegas and Premiere are capable of exporting finished video productions in Flash video (.FLV), there is more to creating a complete Flash video than just the video file.

When a digital video file is created like a H.264 (encoded to specifications of under 10 minutes and 1Gig) and uploaded to YouTube, Yahoo, MetaCafe, and Viemo, the H.264 file is converted to Flash video during the uploading process.

Many services that post PR video on their websites now only accept Flash Video (.FLV) files. HTML 5 is out and nearly taking over flash, but it still has a way to go.

If you are interested in posting a Flash video on your website, the following are the components you need in addition to the .FLV video file:

1. The.html portion the html webpage that loads the flash player
2. The .swf portion the compiled flash file for web (contains the flash video player)
3. The .flv portion the actual video file for the flash player
4. ac_runactivecontent.js -the javascript file that loads the player into browsers

A non-video-production-based software program made by Adobe called Flash is used to create graphics and video for websites.

Flash Video is a file format used to deliver video over the Internet using Adobe Flash Player. The format has quickly established itself as the format of choice for embedded video on the web. Notable users of the Flash Video format include YouTube, Google Video, Yahoo, MetaCafe, Viemo, Reuters.com, and many other news providers.

Flash Video is viewable on most operating systems, via the widely available Adobe Flash Player.

Lastly, Theora standardized is still in development and not used very often, but still worth mentioning to complete your understanding of the various file formats available today.

DIET FOR SMOKERS AND EX-SMOKERS

As a dietitian, the three most common questions which smokers ask me about diet and smoking, are: (1) Can a diet compensate for health damage caused by smoking? (2) What should I eat if I smoke? (3) If I quit, what type of diet is best to prevent weight gain?

(1) CAN A DIET COMPENSATE FOR SMOKING?

No diet or eating-plan, no matter how nutritious, can neutralise the health damage caused by the 850+ chemicals in tobacco smoke - many of which are carcinogenic. On average, if you smoke 20 cigarettes a day, you double your risk of a heart-attack and are five times more likely to suffer a stroke than a non-smoker. At 40 cigarettes a day, you are five times more likely to suffer from sudden cardiac death. Smoking is also the leading cause of lung cancer.

Thus before we even start to examine an appropriate type of diet for smokers, my overriding advice is: quit smoking today!

(2) WHAT SHOULD I EAT IF I SMOKE?

For anyone who smokes, daily diet nutrition is critical. The damage doneto the body's cardiovascular and respiratory functions requires a constant need for extra nutrients. Even if you smoke 5 cigarettes a day, you have increased nutritional needs due to your increased risk of hypertension, atherosclerosis, emphysema and numerous cancers. As stated, a healthy diet will not prevent these health conditions, but it may delay their development.

INCREASED NEED FOR ANTIOXIDANTS

Tobacco smoke leads to increased levels of free radicals - cancer-causing agents - in the body and a corresponding need for protective antioxidants that can neutralise them. The main antioxidant vitamins are vitamin C and vitamin E (which works best in combination with the mineral selenium). Phytochemicals such as bioflavonoids and carotenoids (eg. beta-carotene) are also rich in antioxidants.

HOW TO INCREASE YOUR ANTIOXIDANT INTAKE

Use the following suggestions are a guide to minimum dietary requirements.

- Eat 3-5 daily servings of deep green, dark red, orange of yellow vegetables.

- Eat 3-5 daily servings of red, yellow, orange or green fruits.

- Switch from coffee to tea, ideally green tea.

- Each day, take 2 tsp of wheatgerm oil (rich in vitamin E) and 6 Brazil nuts (selenium).

[Note: a serving is approx 1 medium fruit, or 1/2 cup chopped]

SPECIAL NEED FOR INCREASED VITAMIN C

One cigarette is estimated to rob the body of 25mg of vitamin C. Thus all smokers have a greatly increased need for this antioxidant-rich vitamin simply to maintain minimum levels. In practice, this need can only be met by taking supplements. As a general guide, I suggest you take 1 gram of vitamin C supplements per day. Choose a "timed-release" brand that includes a minimum of 100mg bioflavonoids.

BEST DIETARY SOURCES OF VITAMIN C

Fruits, such as: blackcurrants, papaya, guava, cantaloupe, elderberries, kiwi fruit, mango, oranges, strawberries.

Fruit Juices, such as: cranberry, grapefruit, lemon, orange.

Vegetables, such as: red peppers, green peppers, broccoli, Brussels sprouts, cauliflower, kale, tomatoes.

PROTECTIVE CAROTENOIDS

Carotenoids are pigments found in plants. All carotenoids are antioxidants, the most common example being beta-carotene. It is found in green plants (eg. spinach), as well as orange and yellow plants, such as carrots, sweet potato and melons. Clinical trials indicate that when consumed in foods - not supplements - betacarotene reduces certain precancerous symptoms.

[Warning: for reasons which are still unclear, beta-carotene supplements actually increase the risk of disease (eg. lung cancer). Thus your intake of beta-carotene should come exclusively from food.]

HOW TO INCREASE YOUR INTAKE OF CAROTENOIDS

Use the following suggestions are a guide to minimum dietary requirements.

Eat 4 daily servings of deep green, yellow or red vegetables, including: carrots, sweetcorn, pumpkin, spinach, sweet potato.

Eat 4oz tomatoes daily, either in sauce or chopped.

Eat 3 daily servings of colored fruit, including: melon, oranges, strawberries, mango, cherries.

PROTECTIVE BRASSICAS

According to research evidence, cigarette smokers who eat more brassicas have less incidence of cancers (eg. breast, colorectal, lung, pancreatic, prostate and stomach). As all these cancers are initiated by free radicals, it follows that brassicas may help to prevent other problems initiated by free radical damage and accelerated by smoking, such as: cataracts, emphysema, asthma and age spots.

Brassicas include: broccoli, Brussels sprouts, cabbage (all types), cauliflower, cress, horseradish, kale, kohlrabi, mustard, radish, swede, turnip, watercress.

GARLIC AND ONIONS

Garlic is a good source of unique antioxidants and contains anti-bacterial and anti-viral properties. Its anti-tumor properties are well documented. Onions, a member of the same vegetable family, have similar properties to garlic.

MORE DIETARY TIPS FOR SMOKERS

Reduce the total fat in your diet. At the same time, minimize your intake of saturated fat and trans-fatty acids. Eat regular servings of omega-3-rich oily fish (eg. salmon, mackerel, sardines).

Eat healthy carbohydrates. Avoid refined white flour carbs, choose only whole grains such as, oats, brown rice, wholewheat pasta. In addition, choose foods rich in soluble fiber (eg. apples, oat bran).

Eat healthy low-fat protein such as fish, lean chicken/turkey, or egg-whites. Include small amounts of lean red meat in your diet, along with regular servings of soy foods (eg. soybeans) and other vegetable protein.

Reduce sodium in your daily diet. Check food labels and choose low-sodium or sodium-free foods. For best effects on lung capacity and cardiovascular function, choose aerobic exercise such as: brisk walking, jogging, jumping rope, swimming and most sports.

(3) CAN YOU PREVENT WEIGHT GAIN AFTER YOU QUIT?

Yes, if you take proper physical exercise and eat a healthy calorie-controlled diet, you are unlikely to gain weight. However, in my experience, some weight gain seems to be inevitable.

WHAT IS THE AVERAGE WEIGHT GAIN?

Most smokers gain weight immediately after they quit. Current evidence suggests that the average weight gain for both men and women who quit smoking is about 6-8 pounds. The more you smoke, the higher the risk of weight gain when you quit. This weight gain is due to the decrease in metabolic rate and an increase in appetite experienced when you quit smoking. This weight increase is perfectly normal, and need only be a short term event.

SO WHAT SHOULD I EAT?

There is no single diet which will prevent weight gain once you quit smoking. Your best option is to focus on healthy eating combined with regular vigorous exercise (within your fitness capacity) and let Nature do the rest. As a general guide, follow these suggestions.

First, cut down on caffeine. Nicotine withdrawal makes us jittery and nervous. So it's important to avoid coffee and caffeine-rich soft drinks which may increase this nervous tension.

Second, increase your intake of fresh fruit and vegetables. Studies show that an increased intake of fruit and vegetables can help to minimize weight gain after you quit smoking. Eat them for snacks, add them to meals, eat them as starters and/or desserts. Eat them on car journeys instead of sweets or candy.

Third, eat little and often. Avoid the temptation to linger over your meals. Get into the habit of eating smaller meals at more regular intervals. Aim to eat something, no matter how small, every 2-3 hours. This helps to maintain a regular rate of calorie-burning.

Fourth, take steps to learn more about nutrition and choose nutrient-dense foods whenever possible. (See above for information about antioxidants, and healthy fats, carbs and protein.)

WHAT ELSE CAN I DO TO PREVENT WEIGHT GAIN?

Make physical exercise a top priority in your daily schedule. Ideally join a gym or fitness center and get into shape. Research evidence demonstrates a clear link between exercise and weight control after you quit smoking. Choose both cardio-aerobic and strength-training exercises, as both play an important role in raising metabolic rate.

Also, make sure you get enough sleep. Research evidence shows that lack of sleep may lead to weight gain, as well as an increased craving for cigarettes and food.

TAKE REGULAR CARDIO-AEROBIC EXERCISE

No cigarette smokers diet-plan is complete without regular physical exercise. Working within your fitness capacity, gradually increase the intensity and duration of your workouts to about 30-45 minutes a day, on most days. 1. Never store your documents on the same drive as your operating system

While most word processors will save your files in the My Documents folder, this is the worst place for them. 6. Quit all programs before shut down.

Shut down your computer. Always quit your programs before shutting down your computer. When you quit a program, it saves vital data and then exits the program. If you just turn off your computer without properly exiting your applications and closing your files, you run the risk of loosing your data.

7. Never shake or remove the covers on hard drives or tapes.

Please don't disassemble your hard drive. In nearly all examples of this, data is usually not recoverable once an inexperienced person attempts to 'investigate' where that 'strange clicking noise' is coming from. 8. Beware of diagnostic programs.
